This Privacy Policy explains how TandemBalance (“we”, “us”, “our”), a partnership of Michael Morrissey and Mariam Rafeek Aziz Hanna trading under the registered business name TandemBalance, operating from 4 Swan’s Nest Business Park, Pouladuff Road, Cork, T12 XC1Y, collects, uses and protects your personal information. We are the data controller for the information described below.

•  Health information — your medical history, current conditions, medications and the clinical notes we keep about your assessment and treatment.

•  Booking and payment details — your appointment history and payment records, handled through our booking system (Jane App).

•  Correspondence — messages you send us by phone, email or through this website.

2. Why we use it

•  To provide safe, appropriate physiotherapy and sports massage care — this is necessary to perform our contract with you and for the provision of health care under data protection law.

•  To keep the clinical records we are professionally and legally required to hold.

•  To manage bookings, payments, appointment reminders and receipts, including receipts you may submit to your health insurer.

•  To respond to enquiries and complaints.

We do not sell your personal information, and we will only send you marketing communications with your consent.

3. Your health information

Health information is “special category” data under data protection law and we treat it with additional protection. Clinical notes are accessed only by the clinicians involved in your care and are processed for the purpose of providing that care and meeting our professional record-keeping obligations.

4. Who we share it with

•  Jane App, the practice-management platform we use for bookings, records and payments. Jane App processes this data on our behalf under its own security and data-processing commitments.

•  Your GP, consultant or another health professional — only with your consent, or where necessary for your care.

•  Professional advisers or public authorities where the law requires it.

We never sell or rent your personal information to anyone.

5. How long we keep it

We retain clinical records in line with professional record-keeping guidance in Ireland — generally for at least 8 years after your last treatment, and longer for records relating to children. Other information, such as general correspondence, is kept only as long as it is needed.

6. How we protect it

Your information is stored securely, with access limited to those who need it to provide your care or run the clinic. Where information is held electronically, it is protected by the security measures of our systems and providers.

7. Your rights

You have the right to request access to the personal information we hold about you, to have inaccurate information corrected, and to request erasure, restriction of processing or a copy of your data in a portable format.
